Styles — the foundation of everything

If you learn only one thing about Word, let it be this. Styles are not decoration; they are the structure the contents page, the navigation pane and the export all rest on.

When you enlarge a heading and make it bold, you are telling Word it is large bold text. When you apply the “Heading 1” style to it, you are telling Word it is a heading — and the difference between the two is the difference between a document and a pile of lines.

More importantly, the benefit does not stop at colour: styles are what build the table of contents, the navigation pane and the bookmarks in the exported PDF.

Edit the style, not the text

To change the look of every heading: right-click the style in the style gallery and choose Modify. If you format a heading by hand after applying the style, you have broken the link and it will not follow later changes. To fix it: Ctrl + Shift + N, then re-apply the style.

3 The navigation pane: the first fruit of styles

From the View tab, switch on the Navigation Pane. A complete map of the document appears down the side — you move between sections with a click, and you can even drag a whole section, with its content, to another place. None of it works unless your headings are genuine styles.
