The difference between an appointment and a meeting is that the second has invitees. And the moment there are invitees, the Scheduling Assistant is faster than any email exchange.
1 Finding the available time
This works provided everyone actually puts their commitments in the calendar. An empty calendar does not mean its owner is free — it means they do not use it.
2 A complete meeting invitation
Objective: approve the treatment of the shipping variances before the books close.
Agenda: present the variances (10 min) · treatment options (20 min) · the decision (15 min).
Required beforehand: read the two-page attachment.
Location: Meeting Room 2 · plus a video link for remote participants.
Meetings five minutes shorter
Switch on shortened meetings in the calendar settings, and a half-hour becomes 25 minutes and an hour 50. Those minutes are what let people move between meetings without delay accumulating through the day.
3 Free/busy status and privacy
| Status | When to use it |
|---|---|
| Busy | Ordinary meetings — the default |
| Out of office | Leave and off-site work |
| Tentative | An appointment not yet confirmed |
| Free | Personal reminders that should not block others booking you |
| Private (locked) | An appointment that shows as busy without revealing its details |
4 Book your own time before it is booked for you
If you leave your calendar empty, others will fill it. Book recurring slots for your deep work — two hours on Sunday morning for the close, an hour on Tuesday for review — and set them to Busy, not Free. This is not dodging meetings; it is protecting the work you are held accountable for.
Editing a recurring meeting
When you edit a recurring appointment, Outlook asks: just this occurrence or the entire series? Getting it wrong disrupts everyone’s calendar and sends dozens of updates. Read the question before you click, especially when cancelling a single occurrence of a long series.
Lesson summary
- The Scheduling Assistant replaces the email exchange over timing.
- A good invitation has an objective, an agenda and pre-reading.
- Set the duration deliberately and do not accept the default hour.
- Set your free/busy status honestly so the calendar works for everyone.
- Book your deep work time before it is booked for you.
5 Test your understanding
Three quick questions
Pick the answer you believe is correct and you will see the result immediately.
1. You need a time that suits three colleagues. The fastest route:
An email exchange eats a day; the assistant shows the common slots in seconds.
2. A personal reminder you do not want to stop colleagues booking your time:
“Free” keeps the appointment visible to you without blocking your time for others.
3. You are cancelling one occurrence of a weekly recurring meeting:
Deleting the series disrupts everyone’s calendar; an email alone leaves the appointment standing for the others.
