The calendar and meetings

Five emails back and forth to agree a time… while Outlook already knows everyone's availability and can show it to you on one screen.

The difference between an appointment and a meeting is that the second has invitees. And the moment there are invitees, the Scheduling Assistant is faster than any email exchange.

1 Finding the available time

The Scheduling Assistant finds the common slot

This works provided everyone actually puts their commitments in the calendar. An empty calendar does not mean its owner is free — it means they do not use it.

2 A complete meeting invitation

Meetings five minutes shorter

Switch on shortened meetings in the calendar settings, and a half-hour becomes 25 minutes and an hour 50. Those minutes are what let people move between meetings without delay accumulating through the day.

3 Free/busy status and privacy

4 Book your own time before it is booked for you

If you leave your calendar empty, others will fill it. Book recurring slots for your deep work — two hours on Sunday morning for the close, an hour on Tuesday for review — and set them to Busy, not Free. This is not dodging meetings; it is protecting the work you are held accountable for.

Editing a recurring meeting

When you edit a recurring appointment, Outlook asks: just this occurrence or the entire series? Getting it wrong disrupts everyone’s calendar and sends dozens of updates. Read the question before you click, especially when cancelling a single occurrence of a long series.
